We share a commitment to our clients, to society, and to the environment to create technologies and processes that are functional, cost-effective, and environmentally benign.----Our Opportunity: Warner Babcock is inviting applications for the full-time position of an Office and Purchasing Administrator. The successful applicant will report to the Chief Operating Officer and have the opportunity to support not only WBI, but its sister company on the same floor of the building, Ambient Photonics, Inc. The Office and Purchasing Administrator must have strong multi-tasking skills and the ability to solely manage all office administration facets of the Warner Babcock Institute and its sister company.
Ideal candidate should have:

  • Bachelor's degree or equivalent experience
  • Minimum 3 years working in an office environment
  • Excellent verbal written and communication skills
  • Must have strong organizational skills and attention to detail
  • Must be proficient with Microsoft Office Suite.
  • Previous purchasing experience is a plus
    Key duties include:
    • Main contact between building management & our office for all office related issues
    • Order/coordinate maintenance of office supplies
    • Responsible for all shipping out of office via fed ex domestic and international
    • Handle purchase requests by employees as well as general office supplies
    • Communicate with outside vendors and staff on purchase approvals and purchase orders
    • Understand PO process and work with accounting on vendor payment methods
    • Keep track of outstanding purchases and update employees on shipping estimates
    • Track company credit card purchases and file receipts accordingly
    • Monitor various locations in building for package arrivals
    • Use Microsoft teams to manage and track chemicals and general office purchases
    • Coordinate with HR and IT for onboarding and needs for new employees
    • Work with building management for deactivation of parking and building access for departing employees--What is in it for me?
