Applications Close: Open until filled General Summary of Position:The Senior Assistant Director, Enrollment Management is responsible for serving as a lead for course scheduling and enrollment management in GPS. This position manages all aspects of course scheduling and management, spends part of his/her time analyzing scheduling data to improve efficiency as well as helping students to progress. Works closely with staff internal to and external to GPS to ensure system information and coding addresses GPS business needs. Reporting to the Director of Enrollment Management and Administration, this position requires a self-motivated and highly detail-oriented, innovative professional who can identify, clarify, and resolve complex issues in a dynamic, fast-paced environment. Works closely with coordinators, chairs, and associate deans to plan for the annual GPS schedule. S/he is responsible for providing data and analysis for course scheduling for a complex schedule that includes sessions that vary in start date, length, tuition structure.Job Duties:Course Scheduling and Management: 60%

  • Manages all aspects of scheduling operations including schedule of classes and registrations. This may include special programs like pathways, summer programs or non-standard offerings, Abitus, and Corporate Education. Schedules new courses, updates existing classes, generates permission numbers, enrolls students. -
  • Schedules all classes per term for the Division, including managing course pricing.
  • Collaborates with GPS staff, Department chairs and coordinators on course planning, sequencing, and schedule of classes. Provides guidance to Department chairs and coordinators in the production, completion, submission of the yearlong schedule. -
  • Audits academic courses and SiS entries for accuracy, ensuring there are no conflicts. Establishes and enforces university guidelines on standard meeting patterns and course set-up before the term opening in SIS and the schedule is finalized. Devise, implement, and document auditing business practices within course scheduling.
  • Review scheduling requests and determine appropriate course of action using judgment according to established policies and procedures.
  • Troubleshoots scheduling issues and implements strategies to prevent recurrence of these issues.
  • Provides faculty/student support for scheduling, online registration, final grade entry, and degree audit among other processes. Maintain update training documentation.
  • Maintains and communicates scheduling, advising and registration information/deadlines to faculty, staff and students.Maintains logs of daily changes and communicates these changes daily to the Division.
  • Communicates all scheduling updates and changes to GPS units, Bursar, Registrar, and Financial Aid.
  • Generates and distributes Teaching Assignment letters for each session.
  • May enroll specialized student groups/cohorts into classesEnrollment Data Management & Analysis: 25%
    • Takes the lead role in managing and monitoring course enrollments actively through the registration process to optimize enrollment/headcounts in courses utilizing enrollment history/data.
    • Analyzes course offerings with an emphasis on growing programs and increasing revenue. evaluates alternatives, makes sound recommendations, identifies specific enrollment issues involving courses or programs.
    • Utilizes tableau reports to assess accuracy of schedule of classes and progress towards division revenue goals.
    • Creates basic SiS/Summit queries and reports as necessary for reporting or exporting. -
    • Works with other University offices and GPS staff to examine and devise course/scheduling coding in SiS that will address GPS business needs.Unit Support and Other projects: 10%
      • Assists the Director with developing strategic planning and implementing operating plans to meet program goals and enrollment management targets for the division
      • Recommend processes and procedures to promote continuous improvement and increase team efficiency
      • Communicates clear policies to faculty and staff around scheduling, last day of enrollment, adds, and cancellation, (in coordination with GPS policies);Other: 5%
        • Share responsibility of answering incoming telephone calls and assist callers with accurate information in a professional and courteous manner.
        • Provides backup support for the unit and may assist with preparation of faculty contracts.Minimum Qualifications (Required):
          • Bachelor's degree & 6 years professional level background in higher educationOR
            • Master's degree with 2-4 years professional level background in higher educationAND
              • Experience in academic scheduling, enrollment management, and/ or program coordination
              • Strong organizational and time-management skills with an exceptional attention to detail
              • Creative problem solving and decision-making capabilities
              • able to identify, clarify, and resolve complex issues in a dynamic, fast-paced environment
              • Demonstrated ability to analyze, summarize, and draw conclusions from large datasets and/or complex data
              • High level of computer proficiency in MS Office, and online database systems; strong knowledge spreadsheet software and database concepts is essential. Has a strong command of using an information system in a higher education environment
              • Ability to communicate well with different populations at the University including faculty, students, and staff
              • Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving
              • Exercise professional discretion and sound judgment to manage multiple programs and projects and to perform duties with caution, diplomacy, and professionalism
